Now That Your Document Has Been Edited
- You will want to accept or reject the additions, deletions and formatting changes I made for you inside your document.
- You will also want to consider answering the questions I wrote for you, as seen inside the little comment “balloons”. You’ll have to add these changes yourself.
When You Are Ready To See Your Edited Document For Yourself
- Go to the Review tab (to use the Track Changes feature).
Open your document, look at the top of it and make sure the Review tab is highlighted. This is where the Track Changes feature is. - Go to the Tracking box (to choose either the edited or the original version of your document).
To see my editing changes, which will show up as text in a colour different than the original black, make sure you have chosen “Final Showing Markup” within the Tracking box. (If, however, you want to see your document without my editing marks, choose “Final” instead. You can do this repeatedly as you go along, to see how things are looking. And, if you want to see the original version of your document, before I did any edits to it, click on “Original” instead.) All of my additions are in a colour other than black, and they are underlined. If you don’t see these, you are not in the Review mode yet. All of my deletions are in another colour and have a line through the middle. (I know, it’s tricky since both my additions and deletions are probably both in the same colour on your screen.) All of my formatting changes are inside oval-shaped comment boxes, or “balloons”, to the far right of the document, and are labelled Formatted. See #4 for more info on this. There will be a black line down the left side of the page to indicate where any editing was done. This line will disappear once your document has been fully reviewed and all changes approved or rejected. See step 10 for more info on preparing your document for printing. - Go to the Reviewing Pane (to see each edit in detail). Click on Reviewing Pane (Vertical). You will see specific details on each of my edits, one by one, on the far left-hand side of your document.
- Locate the Balloons (to see my comments and formatting changes).
All my comments and formatting changes are indicated inside what’s called “balloons” to the far right of your screen. (If you can’t see these oval-shaped balloons, use your scroll bar on the bottom of the page and drag it to the far right.) They are labelled either Formatted or Comments M1, Comments M2, etc.
When You Are Ready To Accept/Reject My Edits (additions, deletions and formatting)
- Place your cursor where you want to start reviewing my edits.
Put your cursor at the very top of the first page of the document, or, if you don’t want to start at the beginning, put it to the left of whatever change you want to Accept or Reject. - Go to the Changes box (to accept or reject my edits).
- Choose Accept or Reject.
To Accept a change, go to the Accept drop-down box and choose one of the options. You have several choices.
You can choose “Accept and Move to Next” (meaning, accept this change and move to the next edit in the document). I suggest this option.
You can also “Accept Change” (meaning accept just this one change, and take a break for now).
You can also “Accept All Changes in Document”.
To Reject a change, go to the Reject drop-down box and choose one of the options. You have several choices.
You can choose “Reject and Move to Next” (meaning, reject this change and move to the next edit in the document). I suggest this option.
You can also “Reject Change” (meaning reject just this one change, and take a break for now).
You can also “Reject All Changes in Document”. - Read my Comments (and act upon them as you see fit).
- Right click on each comment balloon and choose “Delete Comment” when you want to get rid of it.
- Once you are done reviewing the document, close the Review Pane by clicking the tiny x in the top right corner of it.
- Prepare to print your document (without any editing marks).
Before printing your document you’ll want to make sure no editing marks show up on the page. Inside the Review tab, and the Tracking box, choose “Final”. - You can hide the green and pink Spelling & Grammar marks that may show up in your document. These could be there, for example, because the American software thinks “colour” should be spelled “color”. Inside Review tab, go into the Spelling & Grammar box. Choose “Options”, “Proofing”, and, at the bottom, you’ll see Exceptions for: (and your document name). Put tick marks in the boxes for “Hide spelling errors in this document only” and “Hide grammar errors in this document only” and then click OK. Click “Cancel” to stop “Spelling & Grammar” from running any further checks on this document.
